Registration items, fees, rules and details are provided below.

At this stage registration does not include all items such as registration to technical visits. Login/password connection allows to re-enter the system to add items.

Full and Student registrations (and their registered accompanying persons) include: access to all Congress sessions (10-14 july), coffee/tea breaks, access to the exhibition, USB disk with Congress preprints, Congress program handbooks, and tickets for welcome reception, congress banquet and farewell reception.
Application Days registrations (and their registered accompanying persons) include: access to all Congress sessions (13-14 july), coffee/tea breaks, access to the exhibition, USB disk with Congress preprints, Congress program handbooks, and tickets for congress banquet and farewell reception.
Accompanying Person Registrations (not for Application days) include a commented visit of Toulouse city center.
Accompanying Person Registrations do not provide access to the congress plenary sessions, technical sessions, exhibition, coffee/tea breaks.
Registrations do not include: pre-congress workshops and tutorials, lunch, accommodation, travel, travel insurance nor visa costs.

Student Registrations are bound to provide a copy of a student's card or equivalent document (to be uploaded in the registration system).
Application Days Registration gives access to the two last days of the Congress only (13 & 14 July).

Upon registration and after payment the participants will receive an invitation to proceed with Visa formalities (if needed). The participants are invited to contact their local French embassy for information about Visa procedures.

Registrations are transferable to delegates not yet registered only if the IFAC 2017 Congress Secretariat is duly informed in writing at least 3 weeks in advance of the start of the Congress to the registration staff. In case the registration covers final paper uploads, the transfer should be done among authors of these papers in order to ensure that the papers are indeed presented by one of the contributors. Registrations may not be shared, i.e. company name tags will not be issued and name tags may not be shared.

The Exhibitors are asked to contact the Sponsorship team before processing with registration. The exhibition space is limited and is provided based on a first-come, first-served rule.

Paper upload

Full Registration includes possibility to upload up to 2 final papers. The registrant should be among the authors of the papers.
Student Registration includes possibility to upload up to 1 final paper. The registrant should be among the authors of the paper.
Application Day Registration includes possibility to upload up to 1 final paper. The registrant should be among the authors of the paper.

Page limits for Papers, Surveys and Extended Abstracts is respectively 6, 12 and 5. It can be increased up to 8 for Papers an 16 for Surveys based on additional fees.

The registrant should be among the authors for additional paper upload.

The demonstrator exhibition organizers are doing their best to provide free access for on-site demonstrators. It may happen nevertheless that some demonstrator imposes severe expenses. In such a case costs will be shared between the organizers and the demonstrator contributor. A cost estimate will be sent to the demonstrator contributor. If he/she agrees in paying this additional cost then the contribution will be presented at the demonstrator exhibition sessions. If not, the paper will be presented in interactive format using videos. Acceptance of the contributions to the Congress Program is independent of the costs payment.

Exhibitors are invited to arrange with the Sponsorship team the possibility to satisfy their needs. The related fees will be reported in the registration web service in order to proceed with the online payment.

The program will include Workshops and Tutorials that may last half-a-day, one-day or two-days. Prices include registration to the workshops and coffee/tea breaks.

GdR MACS Workshops are for French speaking participants and registered to GdR MACS at the following address (free). These workshops are partly supported by CNRS.

Registration to several Workshops or Tutorials is possible. The registrants should take care not to register to workshops occurring simultaneously.

Workshops will take place only if at least 10 participants register before May 15, 2017. For those Workshops that may be canceled the registered participants will be invited either to select another workshop or to be refunded.

Accomodation at University Campus

A limited number of rooms at the Université Paul Sabatier campus will be made available for the World Congress participants. These are students lodgings of about 9 square meters including a shower room and a kitchenette. The accommodation offer includes the sheets and towels, and breakfast at the University cafeteria. There will be no daily cleaning. All participants will be hosted in the same building. The building is entirely booked, exclusively for the World Congress attendees. Registration and payment is done via the Congress registration web service. Upon registration arrival date and hour should be indicated (starting from Friday, July 7). Welcome desk hours will be organized to fit the arrival times. Departure should imperatively be at most on Saturday, July 15. See here for more information about accomodation at university campus.

Lunches

Lunches during the World Congress Fees
Lunch tickets at university cafeteria (Monday, July 10 through Friday, July 14) 40€

A special lunch offer at the close-by university cafeteria is proposed. For logistics reasons only a limited number of tickets is available. Tickets are sold only through the registration web service and it is not possible to buy tickets for individual days (five days tickets pack only).

Registration web service

A dedicated web service is open at the following address http://ifac2017.gipco-adns.com/
Details concerning this web service are given on the Registration Procedure page.

Each registrant has a personal login and password. It allows multiple connections to the system and separate purchasing of the different items.

For final paper upload the authors should provide the identifiers of the papers they wish to upload. For each of them they will receive an upload code to be used in PaperCept for the final paper submission.

Registrants are asked to inform about their expected arrival date in Toulouse and their willingness to attend the World Congress social events. This information will be used to adjust if necesary the welcome desk hours and the catering.

Once the registration payment is confirmed, the registrants receive :

  • The upload codes for final paper submission (in the document "confirmation/invoice" that will be included in the confirmation mail)
  • An invitation letter that may be used for Visa application
  • A confirmation of payment and receipt

The attendee email address will be used for regular useful information about the congress organization, or about events occurring in France and Toulouse in particular.

After registraion at the conference venue welcome desk, the attendees will receive a Congress attendance certificate.

Payment

Fees for registrations and all other items will be done exclusively by credit card via the registration platform. Accepted cards are: CB, Visa, MasterCard. The payments are in Euros (€).

VAT

All prices are including VAT.

Cancelation

Cancelations are accepted following the following rules.

  • Cancelation can concern all or part of the paid items.
  • Cancelation notice should be sent to registration@ifac2017.org. It should provide detailed description of the items to be canceled and proof of payment.
  • Any cancelation will be charged a 50€ handling fee, whatever the price of the canceled item or items.
  • If cancelation occurs within five (5) weeks after payment, refund will be of 70% of the price of canceled item or items (after subtracting the handling fees). In this case the refund will be credited back without delay to the credit card used for the payment.
  • If cancelation occurs later than five (5) week after payment, refund will be of 40% of the price of canceled item or items (after subtracting the handling fees). The amount will  be credited by wire transfer and will occur before December 31, 2017.
  • Registrations used to upload final papers to be included to the program cannot be canceled.
  • Additional paper upload fees and additional page in proceedings fees cannot be canceled.

Limitation of Liability in Relation to the Congress

The IFAC 2017 National Organizing Committee reserves the right to cancel IFAC 2017 World Congress without notice or compensation in the event of any delay, default, failure or cancelation of implementation of any deliverable to or for the IFAC 2017 Congress which has been caused, directly or indirectly, by any incident of “force majeure”. For the purposes hereof, the term “force majeure” shall mean any incident, circumstance or cause which renders delivery of the IFAC 2017 Congress substantially or totally impossible or impracticable and which is beyond the control of the IFAC 2017 National Organizing Committee. The term shall include but not be limited to the following:

    Any strike, or other industrial action of any kind;
    Fire, flood, or adverse weather conditions;
    Unavoidable breakdown or destruction of facilities or equipment;
    Failure of carriers, delays in performance or delivery by sub-contractors or any other breach by a third party of a material obligation towards the IFAC 2017 National Organizing Committee;
    Power failure;
    Promulgation/amendment/rescission of any relevant legislation or regulation by local or national government;
    Any occurrence of any nature which renders it reasonably necessary for the IFAC 2017 National Organizing Committee to cancel the IFAC 2017 Congress.

In such circumstances, the IFAC 2017 National Organizing Committee and the IFAC 2017 Congress Organizers are hereby indemnified and shall not be liable to any delegate, supplier or other service provider for any loss or damage save that the IFAC 2017 National Organizing Committee shall only be liable to reimburse the relevant party such amounts as may actually have been received by the IFAC 2017 National Organizing Committee BUT AFTER deduction of any costs that have been reasonably incurred by it up to the point of cancelation in preparing the Congress. This limited liability does not extend to any payments that may have been made directly or indirectly (on behalf of delegates/attendees/service providers, etc.) to third parties such as hotels or airlines.

The IFAC 2017 National Organizing Committee and the IFAC 2017 Congress Organizers shall not be responsible for any theft, breakage, destruction or damages of any kind whatsoever and howsoever caused to personal and/or business items of delegates, accompanying persons, children, or other attendees.

All delegates are to make themselves fully aware of the health and visa requirements in respect of travel to France; in the event that an individual is unable to participate in the Congress due to not meeting these requirements in any way, neither the IFAC 2017 National Organizing Committee nor the IFAC 2017 Congress Organizers accept responsibility in any respect.
